Manage capacity and waitlisting

If your venue or plans limit how many people can attend, you can choose what happens when your event reaches capacity. This is separate from the number of people one household or group can include in a reply. For example, you might plan for 40 attendees overall while allowing up to four people in each reply.

Total spots sets your event’s capacity. Max. people per response sets the allowance for each replying household or group. Keep both in mind when deciding how many people to invite.

In RSVP form → RSVP & guests settings, find Capacity handling. The options are Unlimited, Waitlist at capacity, Close at capacity and Waitlist always. Enter Total spots when your selected option asks for a limit.

The capacity check happens when someone starts their RSVP. A household or group that has already started can finish replying for everyone within its per-response allowance, even if that takes attendance over your event capacity. For example, if 39 people are attending when a group starts its reply, all four members can still RSVP, bringing attendance to 43. Guests who start after capacity has been reached are subject to your chosen capacity setting.

With Waitlist at capacity, guests who start replying after your event is full are waitlisted. In your invitation’s Page Manager, use the guest-list status filter to select Waitlisted and find those replies. You can accept waitlisted guests as attending. If a guest supplied an email address, accepting them sends an email notification.

Questions you may have

Can a household’s reply take attendance over my capacity?

Yes. A household that starts its RSVP before capacity is reached can finish replying for its full group, subject to your maximum people per response. Your capacity setting applies to guests who start replying after the limit has been reached.

Can I accept someone from the waitlist?

Yes. Find your invitation under Home → Your pages, select Send & manage responses, then filter your guest list by Waitlisted. You can accept a waitlisted guest as attending. They receive an email notification if they provided an email address with their reply.

To set how many people one household can include in its reply, see guest allowances.
